Acceptable Use Policy
Effective date: 10 October 2026
This Acceptable Use Policy ("AUP") sets out the rules for using the Anakalice School Management platform (the "Platform") operated by Anakalice Digital ("Anakalice"). It forms part of the Terms of Service. It applies to the subscribing school (the "School") and to every person the School allows to use the Platform, including Administrators, staff, parents or guardians, and students ("Authorised Users").
The School is responsible for ensuring its Authorised Users understand and follow this AUP.
1. General principle
The Platform is for legitimate school administration. Use it lawfully, responsibly, and only for the purposes it is designed for. Do not use it in any way that harms others, breaks the law, or threatens the security or integrity of the Platform or any School's data.
2. Prohibited uses
You must not:
2.1 Break the law. Use the Platform for any unlawful purpose, or to store, send, or share unlawful content.
2.2 Upload harmful or infringing content. Upload or share content that is defamatory, harassing, threatening, obscene, or that infringes the intellectual property, privacy, or other rights of any person.
2.3 Misuse personal data. Use personal data held on the Platform for any purpose other than legitimate school administration. Do not disclose, sell, or share personal data with unauthorised persons.
2.4 Harm children or misuse children's data. The Platform holds data about students who are minors. You must not misuse it, expose it, or use it in any way that could harm a child. Access to children's data must be limited to those who need it for their role.
2.5 Upload malware. Introduce viruses, worms, ransomware, or any other malicious code.
2.6 Interfere with the service. Disrupt, overload, or interfere with the Platform, its servers, or the infrastructure it runs on, including through denial-of-service activity or automated scraping that burdens the system.
2.7 Misrepresent identity. Impersonate another person, or misrepresent your role or authority.
2.8 Use the Platform to send spam. Use the Platform's messaging or announcement features to send unsolicited bulk messages unrelated to school administration.
3. Protecting children's data
3.1 Students on the Platform are minors. Treat their data with particular care.
3.2 Only collect and keep student data that is needed for school administration.
3.3 Give staff access to student data only at the level their role requires.
3.4 Do not share student data outside the School except as permitted by law and the School's own policies.
3.5 The School is responsible for obtaining and recording parental or guardian consent where consent is the lawful basis for processing a child's data, as set out in the Privacy Policy and Data Processing Agreement.
4. Login credentials and account security
4.1 Do not share credentials. Each Authorised User must use their own account. Do not share usernames or passwords between people.
4.2 Keep credentials safe. Protect your password. Do not write it where others can find it, and do not reuse a password you use elsewhere for anything sensitive.
4.3 Report compromise. Tell your School's Administrator, and Anakalice, promptly if you believe a credential has been lost, stolen, or used without permission.
4.4 Administrators must remove accounts for people who no longer need access, for example staff who have left.
5. Security and tenant isolation
5.1 The Platform is multi-tenant: each School's data is kept within its own tenant and subdomain. You must not attempt to access, view, or interfere with any tenant, data, or subdomain other than your own School's.
5.2 You must not attempt to probe, scan, test, or breach the security of the Platform, bypass access controls, escalate your privileges, or defeat tenant isolation.
5.3 You must not attempt to access the Platform's underlying servers, databases, or code except through the features provided to you.
5.4 If you discover a security weakness, do not exploit it. Report it to Anakalice promptly at info@anakalicedigital.com.
6. Online fee payments
6.1 Use the online fee-collection feature only for genuine school fees and related charges.
6.2 Do not use it to process fraudulent, disputed, or unauthorised transactions.
6.3 The School is responsible for connecting a settlement account it is entitled to use and for complying with the payment provider's requirements.
7. Consequences of breach
7.1 If you breach this AUP, Anakalice may, depending on the severity:
- warn the School and ask it to address the issue;
- suspend the account or specific user access;
- remove offending content;
- terminate the subscription under the Terms of Service.
7.2 Where there is an immediate threat to the Platform, to children's data, to other schools, or to any person, Anakalice may act immediately to protect those interests, and will inform the School as soon as reasonably practicable.
7.3 Anakalice may report unlawful activity to the relevant authorities where required or appropriate.
